The availability of several FACSys features depends on the permissions and restrictions defined in a user's account profile. For example, the ability to schedule a fax with an Urgent priority is only granted to users who have the 'Schedule faxes with higher than normal priority' permission enabled in their FACSys profile.

In every FACSys user profile, you can assign an access right configuration that is appropriate to the user's faxing tasks and activities. To facilitate the management of permissions, FACSys provides a default permissions template that is applied automatically to all new FACSys user accounts and groups. When you define a new FACSys user account or group, you can modify these defaults according to the actions to be performed by the user(s).

On the Permissions property sheet of the server Properties dialog box, enable the default permissions you want to grant to all FACSys users. Then click the OK or Apply button.

NOTES:

A user's permissions are also affected by the FACSys user groups to which the user may belong.
Changing the default permissions will not affect the user profiles that are already defined on the fax server.
The 'Administer and Configure Server' option gives the user access to the FACSys Administrator program and makes the user a "FACSys system administrator." Do not select this option as a default for new FACSys user accounts!

 

The permissions available in a FACSys user or group profile are defined as follows:

Administer and configure server - Enabling this option makes the user a "FACSys administrator" and grants the user access to the FACSys Administrator program and all of its functions. Administrator users also have full rights to all options in the FACSys Desktop.  Each of the options below need to be individually activated.
Schedule faxes with higher than normal priority - Enabling this option gives the user the ability to assign a High or Urgent priority to outbound faxes.
Change logon password - Enabling this option gives the user the ability to change their FACSys password from the FACSys Desktop.
Route unread faxes to others - Enabling this option causes the Unrouted folder to display in the user's FACSys Desktop fax folder resource list. The Unrouted folder contains inbound faxes to this fax server that cannot be routed to a specific FACSys user via an automated routing method (e.g., DID, DTMF). The user whose profile you are defining will be responsible for routing these faxes. (The user will be able to view only the first page of every unrouted fax message.)
Delete fax messages - Enabling this option gives the user the ability to delete fax messages.
Select cover page - Enabling this option gives the user the ability to select a personal or shared cover page when scheduling outbound faxes. Users who are not given this right will have a default cover page applied to their outbound faxes. (You can define a default cover page for the fax server and for the FACSys user.)
Create system phonebooks - Enabling this option gives the user the ability to create shared FACSys phonebooks. Users who are not given this right can still create their own personal phonebook.
Delete system phonebooks - Enabling this option gives the user the ability to delete shared FACSys phonebooks. Users who are not given this right can still delete their own personal FACSys phonebook.
Add recipients to system phonebooks - Enabling this option gives the user the ability to add recipient entries to shared FACSys phonebooks. Users who are not given this right can still add recipients to their own personal FACSys phonebook.
Modify recipients in system phonebooks - Enabling this option gives the user the ability to modify the recipient entries in shared FACSys phonebooks. Users who are not given this right can still modify the recipient information in their own personal FACSys phonebook.
Create system cover pages - Enabling this option gives the user the ability to create shared FACSys cover pages. Users who are not given this right can still create their own personal FACSys cover pages.
NOTE:All FACSys shared and personal cover pages are maintained at the fax server.
Delete system cover pages - Enabling this option gives the user the ability to delete shared FACSys cover pages. Users who are not given this right can still delete their own personal FACSys cover pages.
Modify information in system cover pages - Enabling this option gives the user the ability to modify shared FACSys cover pages. Users who are not given this right can still modify their own personal FACSys cover pages.
Can access server folders (Inbox, Outbox, Sent Items) - Enabling this option causes the Server Inbox, Server Outbox, and Server Sent Items folders to display in the user's FACSys Desktop folder list. These folders list the server's fax activity.
Send receipt when using remote service provider - Enabling this option causes a delivery notification to be generated for every fax message the user sends via a remote service provider (e.g, via a "connection"). When enabled, a receipt that indicates the delivery status of the user's fax messages is generated by the external provider (e.g., fax sent successfully or failed). This functionality must be supported by the external service provider.

 

The restrictions are defined as follows:

Requires approval by assigned manager when sending faxes - Enabling this option forces the user's outbound faxes to be approved by the Manager identified on the General tab. The user's outbound faxes will be listed in the Outbox folder with the status "Pending Approval" until approved by the Manager.

NOTE: This option is not active for a user unless a manager is specified in the individual user profile.

Cannot exceed broadcast restrictions - Enabling this option will prohibit the user from sending a fax that has more destinations than the broadcast limit defined for the fax server (in the server's Properties dialog box on the Options tab).
Can send during off-peak hours only - Enabling this option will require the user to send faxes only during the off-peak time interval defined for the fax server (in the server's Properties dialog box on the Options tab).
