Defining a User's General Information

To define the name properties for a user, click the General tab of the User's Profile Properties dialog box and complete the User Information fields.

 

User Information

First name - As the user's first name is entered, FACSys Administrator creates the Display Name and the Alias.  Administrators can edit this created Display Name and Alias.

Last Name - As the user's last name is entered, FACSys Administrator updates the Display Name and the Alias.  Administrators can edit this created Display Name and Alias.

Display Name - Created from the First name and Last name entered above, but can be modified by the FACSys Administrator. This name is for display within the FACSys Administrator program.

 

Alias - As you enter the user's First and Last Name, FACSys will enter a Display Name and Alias. FACSys uses the Alias and Password combination to grant access to the FACSys programs. The FACSys Administrator program also uses Windows authentication for validating an administrator's logon information. FACSys Desktop users have the option of enabling Windows authentication. Therefore, to allow the FACSys Desktop user to log onto FACSys using Windows authentication (and thus avoid having to enter a FACSys name or password), the Alias name you define must match the User Name defined in the user's Windows account.

 

NOTE:You must enter an Alias for the user. After you save the user profile, you CANNOT change the Alias name.

 

Password - Enter a password to be provided by the user for access to the FACSys programs and to the fax server services. For security purposes, asterisks appear in place of the password.

 

NOTE:The Alias and Password is needed by the user to gain access to the FACSys Desktop. Names and passwords are not case-sensitive.

 

 

Department - This is the department that the user belongs to.  This is an optional field, but if the "Activity by Department" report is run, this information is needed.

 

Manager - If a users' outbound faxes to be approved by a "FACSys Manager," (or a group of managers) then identify the Manager (or group of managers) in this field. The Manager is responsible for opening and reviewing all outbound faxes sent by this user. After reviewing the pending fax, the Manager will either approve or deny its transmission by the fax server. In the case of a group of managers, only one of the managers needs to approve the fax.

 

NOTE:To enable the management approval process,  the Requires approval by assigned manager when sending faxes option (on the Permissions tab) must be enabled.

 

To select a Manager from the list of available FACSys users on the current fax server, click the Modify button. To clear the current Manager's name from the field, click the Clear button.

 

Enable Inbound Routing Services - Enabling this option turns on the automated messaging and inbound notification features. If it is not enabled, FACSys will ignore the user's inbound routing preferences defined under the Routing and Forwarding tabs in this dialog. As a result, the user will not receive faxes in their email application, at a network printer, or forwarded to another fax machine.

 

Routing - If the environment supports direct inward dial (DID), dialed number identification services (DNIS), dual tone multi-frequency (DTMF) enter the user's inbound routing identification number. The Routing ID can be a maximum of 128 digits. The required number of routing digits is defined on the properties of the fax device.
