Defining Schedule, Priority, and Optional Fields for Your Fax

To define the scheduling options for your fax, click the Options tab in the New Fax Message window.

 

Define these options as follows:

 

       Send Options - To send your fax before or after a specified time, select an available option. If you do not select one of these options, your fax is sent immediately. In all cases, if the message is not sent for any reason (e.g., it expires in the queue, canceled, not approved), you are notified according to the message notification option defined in your FACSys user account profile (e.g., a network or e-mail message).

 

 

Off-peak hours are defined at the fax server by your FACSys Administrator. You must have permission to schedule a fax during an off-peak time.

 

       Priority - From the drop-down list, choose the priority you want to assign to the fax. The priority indicates the importance of the fax and helps the fax server determine the order in which the fax should be sent (relative to all other faxes that need to be sent). To schedule a fax with a priority higher than Normal, you must have the right to do so as defined in your FACSys user profile.

 

       Billing Code - Enter a billing code to be assigned to this fax. Fax billing codes are available to the FACSys reports that are generated by your FACSys Administrator.

 

       Hold this message at the server for preview - By selecting this option, you can review and verify the outbound fax message before it is sent by the fax server. In addition to verifying the rendered fax image, you can verify the fax destinations and message options. For instructions on previewing and releasing faxes, click _bm0.

 

       User-Defined Fields - With the FACSys Desktop, you can specify user-defined properties to be applied to your new fax messages. The properties you enter in these fields can be used to help identify your fax messages. For example, assume you enter an account code in the User 1 field of every message you send. By displaying the User 1 column in your Sent Items folder, you can quickly identify your messages based on their account code. Using the View/Sort command, you can also sort your sent messages according to the user-defined information.

 

 

You can enter up to 4 user-defined fields for every fax message you send. Note that after you send the message, you cannot modify the field text. Also, the user-defined information you enter will only display in a message folder (e.g., Sent Items). You cannot add this information to your cover pages or have it displayed in a FACSys report.

 

Note also that when you choose to display the User column(s) in a message folder, you will see 8 user-defined fields (User1 through User8). Only 4 of the fields can be defined from the FACSys Desktop program. User-defined fields 5 through 8 are reserved for use via the FACSys Active Fax Messaging (AFM) programming interface.
