Sending Faxes from a Mail Application
Previous  Top  Next

To send a fax from your mail application, you simply enter a fax address as the message's destination. For example, in the TO: field of a new message window, enter [FAX:+1 (732) 123-1234] or [Joe Smith@+1 (732) 123-1234]. The exact address syntax you use depends on the address requirements of your email application.

Depending on the configuration of your environment, you can use either your mail application or the FACSys Desktop to monitor and manage your faxes.

Summary
Addressing
You can enter both fax and mail addresses in the new mail message window. FACSys will handle the fax destinations, and your mail program will handle the mail destinations. The destination names you enter will display in the TO column in your FACSys Desktop folders. For more information on addressing your messages.
Cover Page
By default, the cover page sent with all outbound messages originated from mail systems is defined by the FACSys default cover page setting at the fax server or in your user profile. This default cover page is defined by your FACSys Administrator. If you have permission to assign a cover page to your faxes, the FACSys fax server can also recognize a cover page setting you define in a message's "Subject" field. Three keywords are supported when you define the cover page setting for a fax message sent from a supported email gateway other than Microsoft Exchange or Outlook:
· /cover= <coverpage name>- Use this keyword to define the specific cover page to be used. · /default=<coverpage name> - Use this keyword to define the specific cover page to be used and change your default FACSys cover page setting.
· /none - Use this keyword to avoid sending a cover page with the outbound fax message.
With the /cover= and /default= keywords, you can define a cover page explicitly by typing the exact cover page name.

You can alternatively define a cover page by typing only a portion of the cover page name. For example, if you specify the cover page keyword as
"/default=Corpor", the fax server will attach the first cover page found that has a name/title beginning with "Corpor." This is helpful if you do not remember the exact name of the cover page. When looking for the cover page to attach, the fax server will always look at your personal cover pages and then the system/shared cover pages.
Message Text
All message text will be placed on the fax cover page. This text will precede any attachments you include in the message.
Subject Text
The Subject text you enter will display in the Subject column in your FACSys Desktop folders and on cover pages having the %subject% token. Subject text will help you identify the fax when managing fax files using either the mail or FACSys Desktop application.
Attachments
You can attach any file types supported by FACSys. All attachments are sent as one fax, with each attachment beginning on a new page. For a list of supported attachment types.
Priority
FACSys will support a priority or "importance" option you apply to the message (as long as you have the right to assign a higher than Normal priority, as defined in your FACSys user profile).
