Approving Outbound Faxes

Approving pending outbound faxes offers another level of security to the workflow of an organization. By requiring approval before outbound faxes can be transmitted by the fax server, Facsys helps eliminate unnecessary faxing and ensures that the fax resources are used properly.

 

The responsibility for approving outbound faxes is assigned in the Facsys user profiles at the fax server. If a user profile account has been selected as the "Manager" in one or more Facsys user accounts, then they must approve or deny these users' pending outbound faxes.

 

The following example illustrates the flow of approving pending faxes:

  1. Facsys user John is identified as Sue's Manager (in Sue's Facsys user profile at the fax server).

  2. When Sue sends a fax, her fax message is listed in her Outbox folder with the status "Pending Approval." Sue's pending fax is also listed in John's Pending Approval folder.

  3. John opens Sue's pending fax message. After reviewing the fax, John either approves or denies it by clicking the appropriate toolbar button in the fax message window.

  4. Approved faxes are scheduled by the fax server. Denied faxes are returned to the originator.

If a user is a Facsys Manager but they are not able to view pending outbound faxes, verify the following:

  • Confirm that they are identified as the "manager" in one or more Facsys user profile.
  • Confirm that the user account(s) requiring approval have "Requires approval by assigned management when sending faxes" restriction assigned.
  • These two settings are done in the Facsys Administrator Program.
