Text that is placed on a cover page may be either constant or variable.
(ie, your company name and address will not change for each fax) This text is considered to be constant. This text can be entered directly on a cover page.
Alternatively, the name of the fax recipient will vary for each fax. To define variable message text on a cover page, FACSys uses an 'embedded command syntax'. This means that when pre-defined fields (or "tokens) are inserted onto a cover page, the FACSys fax server will automatically replace the token with the appropriate information.
The Cover Page Editor includes the following fields::
| • | Recipient - tokens that identify the person receiving the fax: Full Name, First Name, Last Name, Fax Number, Company, Voice Number. |
| • | Sender - tokens that identify the person sending the fax: Full Name, Fax Number, Phone Number, Address, Route ID, First Name, Last Name. |
| • | Message - tokens that identify miscellaneous information about the fax: Subject, Note, Pages, Date, Time. |
To insert a variable field:
| • | From the Insert menu, choose the type of field to be inserted. From the sub-menu that displays, select the field. |
| • | When a field is inserted, the Cover Page Editor adds two text boxes to your cover page. The left-most text box identifies the field. The right-most text box contains the token to be replaced by the fax server. The token data is surrounded by percentage signs. |
Notes on Inserting Fields
| 1. | The text in an inserted token cannot be edited. The information surrounded by percentage signs is fixed. |
| 2. | When a Message Date field is added, a Date dialog-box is displayed. Select the format of the date to appear. |
| 3. | When a Message Time field is added, a Time dialog-box is displayed. Select the format of the time to appear. |
4. When a Message Note field is added, the %Note% token is replaced by cover page message text defined in the Cover Page dialog box (i.e., click the Cover Page button in the Schedule Fax dialog box). When using an e-mail transport, the %Note% token is replaced by the e-mail Subject text. Note also that when the %Note% text box is filled completely, the note text will continue on a subsequent page.
| 5. | Tokens can be entered directly into any text box that has been created. The token fields must be surrounded by percent signs (%) |
| NOTE: | This feature is available for all tokens except Page Count. The Page Count token CANNOT be entered directly in a text box. |
