Many of the features provided by the FACSys Desktop are listed below.
The FACSys Desktop displays all fax resources in a hierarchical list or a "tree view." At a glance, a user can access their inbound faxes, outbound faxes, fax phonebooks and fax cover pages. Using the FACSys Desktop, the fax environment can be customized to a particular user, personal fax messages can be managed.
FACSys supports many methods of outbound faxing. Faxes can be sent from the FACSys Desktop window, an e-mail application, or a Windows application. The DDE Commmand Interface, embedded codes, the Internet, or a simple drag-and-drop procedure can be used to send faxes.
FACSys users are responsible for managing their own personal FACSys phonebook. Users with the appropriate rights can also create and manage shared or system phonebooks. Adding containers or sub-folders to the phonebook gives a user the ability to organize the unlimited number of phonebook entries and groups. Direct link to external ODBC data sources can also be established.
FACSys gives a user the ability to send and receive faxes using an electronic mail application or gateway service. FACSys supports gateway services for electronic mail systems, network scanners, and electronic voice systems. Current supported gateway services include Lotus Notes, SAP System R/3, SMTP/POP3, HP Network ScanJet 5, and Microsoft Exchange. Outbound messages are rendered automatically into a fax image format supported by FACSys. Inbound messages are converted into the format specified by each user and display as file attachments in email messages.
An option in the New Fax Message window instructs FACSys to hold sent faxes at the fax server, giving a user the ability to preview outbound fax messages before transmission takes place. In addition to verifying the rendered fax image, a user can check fax destinations and options. The preview feature results in both time and cost savings to the organization.
In addition to the rich text formatting of your fax documents and fax cover pages, file attachments can be included in outbound fax messages. There is no limit to the number of attachments contained within each fax message created.
The FACSys New Fax Message window offers extensive outbound scheduling options. In this easy-to-use window, the outbound fax date and time, priority, cover page, fax destinations and optional file attachments can be defined. Additional options allow a user to select address and recipient information from a wide range of sources, including Outlook contact databases, ODBC data sources, and other MAPI-compliant address books.
FACSys can be instructed to render file attachments at the remote fax server or client workstation. Remote rendering eliminates large processing requirements at the local workstation and gives the ability to attach any format type supported by FACSys.
FACSys Desktop users receive their inbound faxes in the way that best suits their needs. A user can choose to receive their faxes as e-mail messages having an attached fax image, printed to a network printer, or forwarded to another fax machine. Regardless of the method by which an inbound fax is received, they are always listed and accessible from the FACSys Desktop.
FACSys is shipped with a Cover Page Editor, giving users with the appropriate rights the ability to create and manage their own custom cover pages. This integrated utility includes the following features: placement of graphics and text objects, inserting embedded codes that are translated by the fax server, saving, importing, exporting and printing. Bitmap images and true-type fonts are also supported.
FACSys provides a Windows NT password authentication option that affects the FACSys logon and the display of the FACSys Logon dialog box. If FACSys is configured to authenticate a user's logon using the name and password entered when logging onto Windows, then the FACSys Desktop will display immediately without prompting for additional logon information.
To take advantage of existing data, FACSys lets a user import data and populate phonebooks quickly. Using the import facility, the import file contents and format can be defined. In similar dialog boxes, FACSys phonebook data can be exported to industry standard file formats.
FACSys provides for the re-transmission of documents that failed due to no answer, busy line, poor connection, and other non-fatal errors. If a failure occurs, FACSys has the ability to re-dial a destination and continue where it left off. This is a critical feature for organizations that send large fax documents.
FACSys issues notification messages in response to a users send/receive actions. Notifications can be issued when faxes are sent successfully, when faxes are sent unsuccessfully, and when faxes are received successfully.
To track fax activity for billing purposes, FACSys offers several methods of billing code support. Billing codes can be applied to phonebook entries, fax messages, and FACSys user profiles.
