To import data into a FACSys phonebook, highlight the phonebook folder into which you want to add the data and choose the Import button on the toolbar. The Phonebook Import wizard displays and prompts you through the import procedure.
NOTE: Before you import data from a text file, try exporting a small phonebook. Look at the resulting ASCII file to see how the import file must be structured.
When you are importing data from an external file, note the following:
| • | Your import file must be in ASCII format, where each field is separated by the delimiter you select during the import process. |
| • | The first row of the file must contain the file's header or field label information. FACSys will read the header, count the delimiters, and determine the expected number of fields. |
| • | When FACSys reads the header information, it attempts to match or map the file's columns with the FACSys phonebook information. If a field/header name in your import file cannot be identified by FACSys, highlight the field name and click the Change Mapping button. In the Change Field Mapping window, select the phonebook field to which the import file field should be mapped. |
| • | Quotes surrounding the import fields are only required when there is a delimiter included within a field. For example, if your field delimiter is a comma, then the entry "Your Software, Inc." requires surrounding quotes to be read as a single field. |
| • | FACSys will strip out any leading or trailing spaces in a field. |
